The Business Travel Show America hosted buyer program is built with the needs of busy North American corporate travel professionals in mind, giving you an optimized way to participate and ensure you maximize your time away from the office.
Depending on your requirements there are three ways you can be part of the hosted buyer program.
As a hosted buyer, your participation entitles you to the following complementary benefits:
Two-day registration
A virtual card to be used to cover up to $400.00 USD round trip economy airfare or train ticket to/from New York City
Standard room at a 4-star hotel in New York City on October 14 and 15 (room and tax only with incidentals on your own)
Hosted buyer group dinner at Swingers Nomad in NYC on Tuesday October 14 from 6:00-9:00pm
Continental breakfast on October 15 and 16 at the Javits Center.
Access to the hosted buyer lounge
Lunch on October 15 and 16 at the Javits Center
You will be responsible for booking your own airline ticket on the airline of your choice or train ticket, and you will be responsible for any fare difference above $400.00 USD. The event team will secure your hotel reservation after you provide your airfare receipt and itinerary to travel@businesstravelshowamerica.com.
You will be required to attend both show days (October 15-16) and the following events:

Wednesday, October 15: 8:30am – 10:30am Business Travel Innovation Faceoff Part 1
Wednesday, October 15: 11:00am – 4:00pm Expo
Wednesday, October 15: 4:00pm – 6:00pm General Session & Networking Drinks Reception
Thursday, October 16: 8:30am – 10:30am Business Travel Innovation Faceoff Part 2
Thursday, October 16: 11:00am – 3:00pm Expo
This option does not include travel and accommodation. As a hosted buyer attending on this rotation you receive the following benefits:
One-day registration
Hosted Buyer group dinner at Swingers Nomad in NYC on Tuesday October 14 from 6:00-9:00pm
Continental breakfast on October 15 at the Javits Center
Access to the hosted buyer lounge
Lunch on October 15 at the Javits Center
You will be required to attend October 15 and the following events:

You will be required to attend October 15 and the following events:
Thursday, October 16: 8:30am – 10:30am Business Travel Innovation Faceoff Part 2
Thursday, October 16: 11:00am – 3:00pm Expo
Scheduling appointments: An online appointment system will open the week of August 18 . You will be required to access the system and schedule a minimum of five 15-minute appointments (each day) with exhibitors of your choice.
Cancellation / No-Show: Hosted Buyer cancellation and no-show policy outlined below:
At the approval of event management, a qualified substitute may attend the event as your replacement to avoid penalty. Travel insurance is highly recommended.
Hosted buyers canceling participation between July 16, 2025 – October 14, 2025, will incur a $1,000.00 USD cancellation fee
Hosted buyers who do not meet all the requirements, attend the event in its entirety or no-show, will incur a $2,500.00 USD fee
Other expenses: You will be responsible for any additional expenses (such as gratuities, insurance, phone charges, ground transportation, and meals) beyond those identified above.
